Terms of Use
Welcome to Squadable, operated by Grey Fox Limited (Company No. 16954882), a company registered in England and Wales. Registered office: 23 Paddock Close, Edenbridge, TN8 6GH, England. By accessing or using our service, you agree to be bound by these Terms of Use. Please read them carefully.
1. Acceptance of Terms
By creating an account and using Squadable, you agree to comply with and be legally bound by these terms. If you do not agree to these terms, please do not use our service. You will be asked to explicitly accept these Terms during registration or on your next login. Declining will result in the deletion of your account.
2. Description of Service
Squadable is a sports team management platform that allows users to:
- Create and manage clubs, groups, and sessions (training, fixtures and casual games)
- Track player attendance, manage rosters, and handle waitlists
- Collect payments for sessions and annual memberships via Stripe
- Assign and balance teams manually or automatically
- Communicate via direct messages, club chats, and group chats
- Post announcements and create polls for club decisions
- View weather forecasts and receive bad weather alerts
- Track live match events, such as scores, where your sport supports them
- Add guest players and generate payment links for non-account holders
- Manage dependant (child) accounts under a parent's profile
3. User Accounts
You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to:
- Provide accurate and complete registration information
- Keep your account information up to date
- Notify us immediately of any unauthorised use of your account
- Not share your account credentials with others
Authentication: We use magic link authentication (a one-time login link sent to your email) as the primary login method. Each email also includes a 6-digit fallback code you can type into the app in case the link opens in the wrong browser. Magic links expire 15 minutes after they are sent.
Membership Limits: Each user account is limited to membership in a maximum of 20 clubs and 20 groups. This includes clubs/groups you create, organise, or participate in as a member or player.
Inactive Accounts: Accounts with no sign-in and no session played for 24 months in a row may be deleted automatically. We email you 7 days before this happens. Signing in, or playing in a session, keeps your account open.
4. Child Accounts and Age Requirements
Squadable allows parents and guardians to create and manage dependant profiles for children under their care. By creating a child account, you confirm that:
- You are the parent or legal guardian of the child
- You consent to the child's information being stored and used as part of the service
- You are responsible for managing the child's participation in clubs and groups
- You will ensure the child's use of the platform is appropriate and supervised
Age restrictions: Squadable is intended for users aged 16 and over. You must be at least 16 to create an account. Children under 16 should be added as dependants under a parent or guardian's account. Dependants can participate in sessions independently, have their own injury tracking, and be assigned to teams, but all actions are managed through the parent's account. Clubs and groups may set their own age restrictions for participation.
5. Acceptable Use
You agree to use Squadable only for lawful purposes and in accordance with these Terms. You agree not to:
- Use the service in any way that violates applicable laws or regulations
- Impersonate any person or entity or misrepresent your affiliation with any person or entity
- Harass, abuse, or harm other users, including via direct messages, chat, or @mentions
- Send spam, unsolicited messages, or abusive content through the messaging system
- Attempt to gain unauthorised access to any part of the service
- Interfere with or disrupt the service or servers
- Upload malicious code, viruses, or any harmful content
- Misuse guest player features to circumvent payment or capacity limits
Chat & Messaging Conduct: Messages sent via club chats, group chats, and direct messages must be respectful and appropriate. Organisers may pin or manage messages in their clubs and groups. Users can report inappropriate messages, which are reviewed by platform administrators. Reported content may be removed and repeat offenders may have their accounts suspended.
6. User Content
You retain ownership of any content you submit to Squadable, including messages, announcements, poll questions, and photos. By submitting content, you grant us a licence to use, store, and display that content as necessary to provide the service. You are responsible for ensuring that your content does not violate any third-party rights or applicable laws.
You may delete your own messages at any time. Deleted messages will show as "This message was deleted" to other users. Photos uploaded to club galleries remain until removed by a club organiser or until the club is deleted.
7. Guest Players
Organisers and owners can add guest players (non-account holders) to sessions. By adding a guest player, you confirm that:
- You have the person's consent to add them to the session
- Guest players count toward the session's maximum capacity
- Guest players can be assigned to teams and appear on the pitch view
- Payment links generated for guests are unique to that guest and session
- You are responsible for sharing payment links appropriately
8. Privacy
Your use of Squadable is also governed by our Privacy Policy. Please review our Privacy Policy to understand how we collect, use, and protect your information.
9. Payments
Certain features of Squadable involve payment, including paid sessions, annual club memberships, and guest player payments. If you use paid features:
- You agree to pay all applicable fees at checkout
- Session payments: if a session is cancelled, the organiser chooses whether to refund the players who paid. If you opt out of a paid session, you can ask for a refund, but only when the organiser allows refunds on opt-out. If they have switched that off, no refund is made. When a payment is refunded through Squadable, the service fee is refunded too
- Club membership payments are refundable only at the club organiser's discretion. When a membership payment is refunded through Squadable, the service fee is refunded too
- We reserve the right to change service fee and platform margin rates with reasonable notice
Payment Processing: Payments are processed securely by Stripe, Inc., our third-party payment service provider. Organisers connect their own Stripe accounts to receive payments directly. By making a payment, you agree to Stripe's Connected Account Agreement. Your payment details are handled directly by Stripe and are not stored on our servers.
Service Fee: Squadable is free for organisers to create and manage clubs, groups, and sessions. When online payments are collected, a service fee is added on top of the session or membership price so organisers always receive the full amount they set. Card and currency-conversion processing are included in that service fee rather than shown separately. The standard platform margin is 10%, capped at £3, €10 or $3 per transaction, though the margin percentage may vary per club or group. The total service fee may be higher where needed to cover card or currency-conversion processing costs.
Guest Payment Links: Organisers can generate unique payment links for guest players. These links are single-use and tied to a specific guest and session. The guest is automatically marked as paid upon successful payment completion.
10. Notifications & Communications
By using Squadable, you acknowledge that:
- In-site notifications (bell icon) are always enabled and cannot be disabled
- Email notifications for session invites can be toggled on the Settings page
- Push notifications are opt-in and can be customised by type (chat, goals, weather alerts, etc.)
- Weather alerts are sent automatically when bad weather is detected for your upcoming sessions
- Quick RSVP actions from push notifications are processed securely using signed tokens
11. Termination
We reserve the right to suspend or terminate your account at any time if you violate these Terms or engage in conduct that we deem harmful to other users or the service. Banned users are blocked from all API access and will see a suspension notice. You may also delete your account at any time from the Delete Account section of the Settings page. This action is immediate and irreversible, and all active login tokens are revoked.
12. Disclaimers and Limitations of Liability
Squadable is provided "as is" without warranties of any kind, either express or implied. We do not guarantee that the service will be uninterrupted, secure, or error-free. To the maximum extent permitted by law, we shall not be liable for any indirect, incidental, or consequential damages arising from your use of the service.
Weather forecasts are provided by OpenWeatherMap and are for informational purposes only. We are not responsible for the accuracy of weather data or any decisions made based on it.
Payment disputes should be raised with the session or club organiser in the first instance. Squadable facilitates payments via Stripe but is not a party to the transaction between players and organisers. We will assist in resolving payment disputes where possible.
13. Changes to Terms
We may update these Terms from time to time. We will notify you of significant changes by posting a notice on the service or by sending you a notification. Your continued use of Squadable after such changes constitutes your acceptance of the new Terms.
