Squadable, operated by Grey Fox Limited (Company No. 16954882), is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.
1. Information We Collect
Account Information
When you create an account, we collect:
- Your name
- Email address
- Preferred playing positions and skill levels (if provided)
Event and Session Data
When you use Squadable, we collect:
- Clubs, events, and groups you create or join
- Sessions, fixtures, and training you participate in
- Attendance records
- Team assignments and positions
- Payment status for paid sessions
Usage Information
We automatically collect certain information about your device and how you interact with our service, including:
- IP address
- Actions performed within the platform (e.g. joining sessions, making payments)
- Login times and dates
Dependent/Child Account Data
If you add dependents (e.g. children) to your account, we collect the following information about them:
- Their name
- Date of birth
- Preferred playing positions
- Injury status (if provided)
This information is managed by the parent or guardian who adds the dependent and is used to facilitate their participation in sessions and events.
Push Notification Data
If you enable push notifications, we collect:
- Browser push subscription endpoint
- Encryption keys for secure notification delivery
- Browser type and version (user agent) for notification formatting
If you use the Squadable mobile app and enable push notifications, we also collect:
- Device token (used to deliver notifications to your specific device)
- Platform type (e.g. iOS, Android)
This data is used solely to deliver notifications you've opted into and is deleted when you disable notifications or delete your account.
2. Lawful Basis for Processing
We process your data on the following legal bases:
- Contract: to provide the Squadable service when you create an account and use the platform.
- Legitimate Interest: to improve our service, prevent fraud, and ensure platform security.
- Consent: for optional features such as push notifications and email preferences, which you can withdraw at any time from the Settings page.
3. How We Use Your Information
We use the information we collect to:
- Provide and maintain the service
- Enable you to organise and participate in events and sessions
- Send you notifications about sessions, events, and updates
- Improve and optimise our service
- Prevent fraud and enhance security
- Communicate with you about your account or the service
- Comply with legal obligations
4. Information Sharing
We share your information in the following circumstances:
With Other Users
When you join an event or session, other participants and organisers can see:
- Your name
- Your email address (visible to event organisers)
- Your playing position and skill level
- Your attendance status
With Service Providers
We may share information with third-party service providers who help us operate our service, such as hosting providers, email delivery services, and payment processors.
Payment Processing (Stripe)
We use Stripe, Inc. as our payment service provider for processing payments related to paid sessions and events. When you make a payment through Squadable, Stripe may collect and process:
- Your name and email address
- Payment card details or bank account information
- Transaction amounts and descriptions
- IP address and device information
Stripe processes this information as an independent data controller for payment execution and fraud prevention purposes. Your payment details are handled directly by Stripe and are not stored on our servers. For more information about how Stripe handles your data, please review the Stripe Privacy Policy.
For Legal Reasons
We may disclose your information if required by law or in response to valid legal requests.
International Data Transfers
Some of our third-party service providers (including Stripe, Firebase, and Google) are based in the United States. Your data may be transferred to and processed in countries outside the UK and European Economic Area. Where this occurs, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or the service provider's participation in recognised data protection frameworks.
5. Data Security
We implement appropriate technical and organisational measures to protect your information against unauthorised access, alteration, disclosure, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure.
In the event of a data breach that poses a risk to your rights and freedoms, we will notify the Information Commissioner's Office within 72 hours and inform affected users without undue delay. Payment card details are not stored on our systems. All payment processing is handled by Stripe.
6. Data Retention
We retain your information for as long as your account is active or as needed to provide you with our service. If you delete your account, we will delete your personal information, except where we are required to retain it for legal or compliance purposes.
Inactive Account Policy: Accounts with no login activity for 24 months may be automatically deleted. Before deletion, we will attempt to notify you via your registered email address. If you wish to keep your account active, simply log in periodically.
Payment records and receipts are retained for 7 years in accordance with HMRC requirements. Chat messages and direct messages are retained while your account is active. Session attendance records are retained while the associated event or club exists.
7. Your Rights
You have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Request deletion of your account and personal information
- Object to or restrict certain processing of your information
- Request a copy of your data by contacting support

8. Cookies & Local Storage
Squadable does not use cookies. We use your browser's local storage to keep you signed in (authentication token) and to remember your preferences (such as UI state). No tracking cookies, analytics cookies, or third-party advertising cookies are used. No cookie consent banner is required as we do not use cookies.
- Authentication token: stored in your browser's local storage to keep you signed in between visits.
- Push notification subscription: if you enable web push notifications, your browser stores a subscription endpoint used to deliver notifications. We also use Firebase Cloud Messaging (FCM) for mobile push delivery on iOS and Android devices.
We also use the OpenWeatherMap service to provide weather forecasts for session locations. No personal data is shared with this service.
We use the Google Maps Platform (Places API, Geocoding) to provide location search and autocomplete when setting venue/location for clubs and events. Google may collect usage data in accordance with their privacy policy.
You can control local storage settings through your browser, but clearing this data may sign you out or affect your ability to use certain features.
9. Children's Privacy
Squadable is intended for users aged 16 and over. We do not knowingly collect personal information from children under 16 other than via parent-managed dependent accounts (see Section 1: Dependent/Child Account Data). If you become aware that a child under 16 has created their own account, please contact us so we can remove it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any significant changes by posting the new policy on this page and updating the "Last updated" date below.
